1. SCOPE OF THIS PRIVACY POLICY

This Privacy Policy explains how Excalibur Gaming Tech, also referred to as “Excalibur Gaming,” “we,” “our,” or “us,” collects, uses, stores, and discloses information when customers visit our website, submit an inquiry, schedule an appointment, request a pickup or delivery, become a member, purchase a service, or provide an electronic device for inspection, cleaning, repair, customization, or technical support.

This Privacy Policy applies to information collected through our website, booking tools, contact forms, telephone communications, email communications, service documents, and in-person customer interactions.

Service scheduling, cancellations, repair risks, deposits, liability, warranties, and customer responsibilities are addressed separately in our Booking and Service Terms.

2. INFORMATION WE COLLECT

Payment information

Payments may be processed through a third-party payment provider. Excalibur Gaming Tech may receive information such as the amount paid, transaction date, payment status, payer name, and transaction reference number.

We generally do not receive or store complete payment-card numbers when payment is processed directly by an outside payment provider.

3. INFORMATION THAT MAY BE ENCOUNTERED ON CUSTOMER DEVICES

Electronic devices submitted for service may contain personal files, user accounts, saved passwords, browsing information, photographs, messages, financial information, game accounts, software, or other private material.

Our technicians will not intentionally search through personal content unless access is reasonably necessary to diagnose the reported issue, verify a repair, complete an authorized data service, investigate malicious software, or perform another service specifically requested by the customer.

Customers should back up important information, sign out of personal accounts when practical, remove highly sensitive information, and create a temporary technician account when possible before submitting a device.

Although reasonable precautions are used, customers acknowledge that some information may become visible during ordinary startup, testing, repair, file-system inspection, malware removal, or operating-system diagnostics.

We will not intentionally copy, retain, or disclose personal files from a customer’s device except when:

The customer has authorized a backup, transfer, recovery, or similar service;

Temporary access is reasonably required to perform the requested service;

Retention is necessary to investigate a dispute or security incident; or

Disclosure is required by law.

4. HOW WE USE INFORMATION

We may use collected information to:

Respond to inquiries;

Schedule and manage appointments;

Provide estimates and request customer authorization;

Perform cleaning, repair, customization, diagnostics, and technical-support services;

Arrange pickup, delivery, or shipping;

Process payments and maintain transaction records;

Contact customers regarding scheduling conflicts, delays, approvals, completed work, or account concerns;

Document the condition of equipment before and after service;

Prevent fraud, abuse, chargebacks, theft, or unauthorized repair requests;

Maintain customer and membership records;

Improve our website and customer experience;

Comply with accounting, tax, consumer-protection, licensing, and recordkeeping obligations;

Enforce our agreements and protect the rights, property, and safety of our customers, technicians, and business; and

Send promotional communications when the customer has consented or when otherwise permitted by law.

5. COOKIES, ANALYTICS, AND EMBEDDED SERVICES

Our website may use cookies and similar technologies to provide website functions, remember preferences, measure website activity, prevent misuse, and load third-party content.

Depending on the features you choose to use or accept, the website may interact with services such as:

YouTube;

Google Maps;

Appointment-scheduling services;

Payment-processing services; and

Other website hosting or form-processing providers.

These providers may collect technical information under their own privacy policies.

Where available, visitors can use the website’s Privacy Settings or cookie controls to accept, reject, or deactivate non-essential technologies. Rejecting a service may prevent certain videos, maps, translation tools, or other embedded features from loading.

6. ONLINE TRACKING AND DO NOT TRACK SIGNALS

Some web browsers provide a “Do Not Track” signal. Because there is not a universally accepted standard for responding to these signals, our website does not independently respond to every browser Do Not Track request beyond the choices provided through our website’s cookie and Privacy Settings tools.

Third-party services may collect information about website activity according to their own technologies and privacy practices. Visitors should use the on-site Privacy Settings to control available non-essential services.

7. HOW INFORMATION MAY BE DISCLOSED

We may disclose information only as reasonably necessary to:

Shipping carriers and pickup or delivery providers;

8. SALE OR SHARING OF PERSONAL INFORMATION

Excalibur Gaming Tech does not sell customer personal information for money.

Certain third-party website technologies may collect information that could be considered “sharing” or targeted-advertising activity under some privacy laws. Where required, non-essential technologies are subject to the choices available through the website’s cookie and Privacy Settings controls.

We do not knowingly sell or share the personal information of children.

9. PHOTOGRAPHS, VIDEOS, AND PORTFOLIO CONTENT

We may photograph a device before, during, and after service for condition documentation, quality control, insurance, fraud prevention, employee training, and dispute resolution.

Customer names, addresses, account information, serial numbers, license keys, private screens, and other identifying information will not intentionally be displayed in public promotional content.

A completed project may be used in our website portfolio, advertisements, or social-media content only in accordance with the customer’s media preference or authorization. Customers may request before service begins that their device not be used for promotional content.

Internal condition photographs may still be retained when reasonably necessary for service records, legal compliance, insurance, or dispute resolution.

10. DATA RETENTION

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including service completion, warranties, bookkeeping, fraud prevention, dispute resolution, legal compliance, and required business records.

Retention periods may include:

Booking inquiries that do not result in service: for a reasonable administrative period;

Customer communications: while needed to respond and maintain service history;

Estimates, claim checks, authorizations, invoices, and repair records: for the period required by applicable law;

Payment and tax records: for applicable accounting and tax-retention periods;

Quality-control photographs: while reasonably needed for service verification, warranty, insurance, or dispute purposes;

Marketing contact information: until the customer unsubscribes or the information is no longer needed; and

Information connected to a legal dispute, chargeback, investigation, or unpaid balance: until the matter and applicable retention period have ended.

Information may be securely deleted, anonymized, or aggregated when it is no longer reasonably necessary.

11. INFORMATION SECURITY

We use reasonable administrative, technical, and physical measures intended to protect information from unauthorized access, disclosure, alteration, misuse, or destruction.

These measures may include account access controls, password protection, secure website connections, restricted technician access, updated software, secure storage, and appropriate disposal of records.

No website, electronic transmission, cloud service, or storage system can be guaranteed to be completely secure. Customers should avoid submitting passwords, financial details, or highly sensitive personal information through ordinary email or unencrypted message fields unless specifically instructed to do so.

12. CUSTOMER PRIVACY CHOICES

Subject to applicable law and necessary verification, customers may request that we:

Confirm whether we maintain personal information about them;

Provide access to certain personal information;

Correct inaccurate contact information;

Delete information that is no longer required;

Stop sending promotional communications; or

Explain how their information has been used or disclosed.

Some information cannot be deleted immediately when it must be retained for an active service, invoice, warranty, tax obligation, fraud investigation, legal dispute, security concern, or another lawful purpose.

Customers will not be denied ordinary service solely because they made a valid privacy request, except where the requested deletion or restriction makes it impossible to complete the requested transaction.

13. MARKETING COMMUNICATIONS

Service-related communications, including appointment updates, estimates, approvals, pickup notifications, and completion notices, are considered transactional communications and may still be sent while a service is active.

Customers may opt out of promotional emails by using an unsubscribe option when available or by contacting us. Opting out of marketing does not prevent necessary service-related messages.

14. CHILDREN’S PRIVACY

Our website and repair services are not directed toward children under 13, and we do not knowingly collect personal information directly from children under 13 without appropriate parental or legal-guardian involvement.

A parent or legal guardian should submit and authorize any repair, booking, or payment involving a minor.

15. THIRD-PARTY WEBSITES

Our website may contain links to social-media platforms, payment providers, scheduling providers, maps, video services, shipping companies, or other third-party websites.

Excalibur Gaming Tech does not control and is not responsible for the content, security, availability, or privacy practices of websites operated by other organizations. Customers should review the applicable third party’s privacy policy before providing information.

16. POLICY CHANGES

We may update this Privacy Policy to reflect changes in our services, website technologies, business practices, or legal obligations.

The revised policy will display a new “Last Updated” date. When a change materially affects how previously collected information is used or disclosed, we will provide additional notice when reasonably required.

Continued use of the website after a revision becomes effective indicates acknowledgment of the revised policy, but it does not replace any consent that applicable law requires us to obtain separately.

BOOKING, SERVICE, AND UNFORESEEN-CIRCUMSTANCES ADDENDUM

This Booking, Service, and Unforeseen-Circumstances Addendum forms part of the Excalibur Gaming Tech Terms and Conditions.

1. BOOKING REQUESTS ARE SUBJECT TO CONFIRMATION

Submitting an appointment through the website does not guarantee that the requested date, time, service, technician, pickup, or delivery window is available.

A booking is confirmed only after Excalibur Gaming Tech accepts the request and sends a confirmation by email, telephone, text message, or another authorized communication method.

Automated booking confirmations may be subject to review when a calendar error, duplicate appointment, incorrect service duration, incorrect price, system malfunction, staffing issue, or service-area conflict occurs.

2. SCHEDULING CONFLICTS AND BOOKING-SYSTEM ERRORS

Online availability may occasionally be inaccurate because of:

Simultaneous booking requests;

Delayed calendar synchronization;

Website or scheduling-system errors;

Incorrect service duration;

Technician illness or emergency;

Vehicle or transportation problems;

Weather or road conditions;

A previous appointment taking longer than expected;

Equipment or workspace limitations;

Unexpected order volume; or

Other circumstances outside our reasonable control.

When a conflict occurs, we will make a reasonable effort to contact the customer and offer another appointment. Excalibur Gaming Tech is not responsible for lost wages, missed work, travel expenses, lost gaming time, substitute-equipment expenses, or other indirect costs caused by a changed or cancelled appointment.

Nothing in this section excludes responsibility that cannot legally be limited.

3. BUSINESS-INITIATED RESCHEDULING OR CANCELLATION

We may reschedule, shorten, delay, or cancel an appointment when reasonably necessary because of safety concerns, insufficient appointment information, unavailable parts, technical limitations, technician availability, severe weather, emergencies, illness, suspected fraud, an unsafe device, or another operational issue.

When practical, the customer will be notified using the contact information provided during booking.

If we cancel a service before work begins, amounts paid specifically for unperformed labor will be refunded. Amounts paid for authorized diagnostics, completed labor, nonreturnable materials, transaction fees when legally permitted, or customer-approved special-order parts may remain chargeable.

4. CUSTOMER CANCELLATIONS AND RESCHEDULING

Customers should provide as much notice as reasonably possible when cancelling or rescheduling.

A cancellation does not automatically eliminate charges for:

Diagnostics already performed;

Labor already completed;

Materials already used;

Custom-mixed paint or personalized materials;

Nonreturnable or special-order parts;

Shipping expenses;

Disassembly or safe-restoration work; or

Other expenses previously authorized by the customer.

Any cancellation fee or nonrefundable deposit must be clearly disclosed before it is charged.

5. LATE ARRIVALS, NO-SHOWS, AND MISSED PICKUPS

A customer who arrives late may receive a shortened appointment or may need to reschedule when the delay interferes with another customer’s confirmed booking.

An appointment may be treated as a no-show when the customer is unavailable, does not respond, does not provide access to the device, or is not present at an agreed pickup or delivery location within a reasonable period.

Repeated no-shows, missed pickups, unsafe meeting conditions, or inaccurate addresses may result in refusal of future pickup or delivery service.

Any trip, reattempt, or no-show fee must be disclosed before it is charged.

6. CUSTOMER CONTACT AND APPROVAL DELAYS

Customers are responsible for providing accurate contact information and monitoring their email, telephone, voicemail, and spam folder for service communications.

Work may be paused while awaiting:

Estimate approval;

Approval for additional repairs;

A deposit or payment;

Account access information;

A replacement part decision;

A customization decision; or

Clarification regarding the customer’s requested service.

Turnaround estimates are automatically extended by the time reasonably caused by a delayed customer response.

We will not perform additional chargeable repairs beyond an authorized estimate without obtaining the customer’s additional consent when required.

7. WRITTEN ESTIMATES AND ADDITIONAL AUTHORIZATION

An estimate is based on information reasonably available before work begins. Hidden damage or additional problems may become apparent only after cleaning, testing, disassembly, software diagnosis, or removal of damaged components.

Additional work or charges will not be performed without customer authorization when prior authorization is required by law.

Authorization may be documented through a signed estimate, email, text message, recorded booking response, telephone notation, electronic approval, or another legally permitted method.

An estimate is not a guarantee that every problem can be repaired or that the device will remain repairable after hidden damage is discovered.

8. DIAGNOSTIC AUTHORIZATION

The customer authorizes Excalibur Gaming Tech to perform reasonable diagnostic procedures necessary to evaluate the reported problem.

Diagnostics may include:

Powering the device on and off;

Opening an enclosure;

Removing components;

Running hardware or software tests;

Connecting the device to a test network;

Updating drivers or firmware when authorized;

Using diagnostic utilities;

Testing ports, controls, fans, lighting, storage, or other functions; and

Reproducing the customer’s reported problem.

A diagnostic fee may remain due even when the customer declines the repair, the problem cannot be reproduced, or the device is not economically repairable, provided the fee was properly disclosed and authorized.

9. UNFORESEEN OR HIDDEN CONDITIONS

Electronic equipment may contain conditions that cannot reasonably be identified before disassembly or testing, including:

Prior unauthorized repairs;

Missing screws or brackets;

Liquid exposure;

Corrosion;

Pest contamination;

Brittle plastic;

Heat-damaged connectors;

Damaged traces;

Swollen or unstable batteries;

Counterfeit or incompatible parts;

Failing storage devices;

Intermittent electrical faults;

Malware or software corruption;

Manufacturer defects; or

Components already near the end of their usable life.

The discovery of a hidden condition may increase the cost or time required, prevent completion, or make safe reassembly impossible without further work.

We will make a reasonable effort to notify the customer before performing additional chargeable work.

10. FRAGILE, AGED, MODIFIED, OR PREVIOUSLY DAMAGED EQUIPMENT

The customer acknowledges that old, heavily used, previously repaired, modified, liquid-damaged, overheated, corroded, or physically damaged equipment carries an increased risk of additional failure during ordinary inspection, cleaning, disassembly, soldering, testing, or reassembly.

Excalibur Gaming Tech is not responsible for a component failing solely because of a pre-existing condition or ordinary failure that was not caused by a failure to use reasonable care.

11. DATA, ACCOUNTS, AND SOFTWARE

Customers must back up important data before service.

Unless a data-backup or recovery service is specifically accepted in writing, Excalibur Gaming Tech does not guarantee the preservation of files, game saves, applications, operating systems, settings, licenses, accounts, passwords, or stored credentials.

The customer is responsible for:

Backing up important files;

Maintaining valid software licenses;

Retaining recovery keys;

Knowing account passwords;

Disabling device locks when necessary;

Removing information the customer does not want exposed during testing; and

Providing lawful access needed to complete the requested work.

We are not responsible for data loss caused by a failing drive, malware, encryption, corrupted software, manufacturer recovery procedures, customer instructions, or a pre-existing device condition, except to the extent directly caused by our failure to use reasonable care.

12. PARTS AVAILABILITY AND SUPPLIER DELAYS

Repair and customization schedules may be affected by supplier inventory, shipping delays, backorders, discontinued components, counterfeit-part concerns, price changes, customs delays, or incorrect parts supplied by a distributor.

We may propose an equivalent, refurbished, used, aftermarket, or alternative component, but it will not be installed without customer authorization when the substitution materially changes the estimate or expected result.

Special-order and personalized materials may be nonreturnable after purchase.

13. TURNAROUND TIMES

All completion dates are estimates unless Excalibur Gaming Tech expressly agrees in writing to a guaranteed date.

Turnaround may be extended by:

Hidden damage;

Additional customer requests;

Delayed approvals;

Parts availability;

Shipping delays;

Repeated testing;

Paint or coating cure times;

Custom fabrication;

Software-download time;

Manufacturer restrictions;

Technician illness;

Emergencies; or

Other events outside our reasonable control.

A delay by itself does not establish negligence or entitle the customer to compensation for indirect losses.

14. REMOTE TECHNICAL SUPPORT

Remote support depends on the customer’s internet connection, device condition, permissions, software compatibility, and ability to follow instructions.

The customer authorizes the technician to view or control the device only for the agreed support session.

The customer may end remote access at any time. Remote access does not guarantee that a problem can be diagnosed or corrected without an in-person inspection.

We are not responsible for a remote-support failure caused by an unstable connection, undisclosed device condition, unsupported software, customer interruption, malware, or another factor outside our reasonable control.

15. PICKUP AND DELIVERY

Pickup and delivery times are estimated arrival windows rather than guaranteed appointments unless expressly stated otherwise.

The customer must provide:

A safe and lawful location;

Accurate directions;

Reasonable access;

A person authorized to release or accept the equipment; and

An accurate inventory of all equipment, cables, accessories, and loose parts being transferred.

A pickup or delivery may be refused or ended when the location, customer conduct, animal, weather, traffic, equipment weight, stairs, parking condition, or another circumstance presents an unreasonable safety risk.

16. SHIPPING AND PACKAGING

The customer is responsible for using suitable packaging when shipping equipment to us unless packaging service is separately agreed upon.

Customers should remove loose accessories, protect fragile glass, immobilize internal components when appropriate, and follow all carrier restrictions.

Carrier delays, loss, theft, and transit damage are generally handled under the carrier’s terms and any purchased shipping insurance. We will reasonably assist with a claim when we arranged the shipment, but we do not control the carrier’s investigation or decision.

17. CUSTOMIZATION AND COSMETIC RESULTS

Custom paint, coatings, decals, lighting, fabrication, and hand-finished work may contain minor variations in color, texture, alignment, reflectivity, surface appearance, or placement.

Screen colors, concept images, digital mockups, and sample materials may not perfectly represent the finished physical result.

The customer must review and approve important design decisions. Changes requested after work begins may require additional materials, labor, and time.

18. MANUFACTURER WARRANTIES

Opening, repairing, modifying, painting, soldering, replacing seals, installing aftermarket parts, or changing software may affect a manufacturer’s warranty or service eligibility.

The customer is responsible for determining whether the requested service may affect an existing warranty unless Excalibur Gaming Tech expressly agrees to investigate that issue.

We do not represent that we are an authorized manufacturer service center unless expressly stated.

19. UNSAFE, CONTAMINATED, OR PROHIBITED DEVICES

We may refuse or stop service on equipment containing:

Insects, waste, mold, bodily fluids, or other biohazards;

A swollen, leaking, punctured, or dangerously damaged battery;

Severe liquid contamination;

Evidence of fire or electrical danger;

Illegal modifications;

Stolen property;

Malicious software intended to harm others;

Illegal content that must be reported; or

Any condition presenting an unreasonable risk.

The customer may be responsible for an authorized inspection, containment, cleaning, return-shipping, or safe-disposal charge.

20. REPLACED PARTS AND DISPOSAL

Unless otherwise required by law or agreed in writing, replaced parts may be returned to the customer upon request when it is safe and lawful to do so.

Hazardous, contaminated, recalled, exchanged, core-return, warranty-return, or supplier-controlled components may not be available for return.

Parts left with us after notice may be recycled or disposed of in accordance with applicable requirements.

21. LIMITED WORKMANSHIP WARRANTY

Any workmanship warranty applies only to the specific labor identified on the final invoice and only for the stated warranty period.

A workmanship warranty does not cover:

New or unrelated failures;

Customer-supplied parts;

Normal wear;

Accidental damage;

Liquid damage;

Power surges;

Malware;

Data loss;

Overclocking;

Unauthorized repairs or modifications;

Misuse;

Failure to follow care instructions; or

A pre-existing condition.

The customer must report a suspected workmanship issue promptly and provide a reasonable opportunity for us to inspect the device before another service provider alters it.

22. LIMITATION OF LIABILITY

To the fullest extent permitted by law, Excalibur Gaming Tech will not be liable for indirect, incidental, special, exemplary, or consequential losses, including lost profits, lost business, lost gaming time, lost opportunities, substitute-equipment expenses, or loss of use arising from a booking change, service delay, failed component, unavailable part, or unsuccessful repair.

For a valid claim directly resulting from our failure to use reasonable care, liability will be limited to the amount legally recoverable under the circumstances and applicable law.

Nothing in these Terms excludes liability for gross negligence, intentional misconduct, fraud, or another responsibility that cannot lawfully be waived.

23. NO GUARANTEE OF REPAIRABILITY

Diagnostics, cleaning, or attempted repair does not guarantee that a device can be repaired, restored to its previous condition, made compatible with other equipment, or operated indefinitely.

Some devices may be economically impractical to repair, may require unavailable parts, or may fail again because of age, design, use, or conditions outside the serviced area.

Charges for properly authorized diagnostics and completed labor may remain payable even when the device is not repairable.

24. CUSTOMER OWNERSHIP AND AUTHORITY

By submitting equipment, the customer represents that the customer owns the equipment or has lawful authority from the owner to request service.

We may request identification, proof of ownership, account authorization, or other verification when theft, fraud, unauthorized access, or ownership is reasonably in question.

25. UNCLAIMED EQUIPMENT

Customers must retrieve equipment and pay authorized balances within the time stated in a completion or pickup notice.

Storage fees may apply only after reasonable notice and in accordance with applicable law.

Equipment will not automatically become the property of Excalibur Gaming Tech solely because it remains unclaimed. Any further action involving unpaid or unclaimed equipment will follow applicable notice, lien, storage, disposal, and unclaimed-property requirements.

26. EVENTS OUTSIDE REASONABLE CONTROL

We are not responsible for delay or nonperformance caused by an event outside our reasonable control, including severe weather, natural disaster, fire, flood, power outage, internet outage, transportation failure, supplier interruption, carrier delay, government order, labor disruption, illness, epidemic, theft, vandalism, civil emergency, or failure of essential equipment.

We will make reasonable efforts to resume or reschedule affected services.

27. SEVERABILITY AND CUSTOMER RIGHTS

If any provision of these Terms is found unenforceable, the remaining provisions will continue to apply to the extent permitted by law.

These Terms do not eliminate any non-waivable rights provided by federal, state, or local consumer-protection law.
